How to import a Request?

Once you access Nimbi Network, navigate through Buy application Dashboard:

  • Click on + CREATE NEW > IMPORT.
    Another way to create is through Requests > + CREATE NEW > IMPORT.
    *Important: The permission profile of a user to perform this action is the Requester level in Buy application;

    On Request Importation page:
  • Choose between Basic Importation or Advanced Importation:

    Basic Import of Requisitions: It covers the main fields and requires the completion of the request ERP Code.

    Advanced Import of Requisitions: It includes additional fields such as Cost Allocation and does not require ERP Code for Requisitions.

  • If Basic Requisition is chosen, download the Template and fill it according to these instructions:
    1) CodeERP: You must enter the ERP code (if you have any process with the same number, error in the load may occur);
    2) Request Title: Requisition Title;
    3) Line ERP: Which line refers to item (1, 2, 3);
    4) Code Item: If it is a cataloged item, one must type the same one;
    5) Short Description: Short Description;
    6) Long Description: Long Description (Optional);
    7) Unit Of Measure Code: You must select which code of the registered unit of measure (the unit does not appear, only the code);
    8) Quantity: Quantity;
    9) Unit Price: Price;
    10) Delivery Address: Delivery Address;
    11) Payment Address: Billing Address;
    12) Payment Type: Payment Method;
    13) Category Code: Category code (must be with the category tree at hand to copy exactly the code of the category registered);
    14) Comment Item: Item Comment (Optional);
    15) CommentType: Request Comment (Optional).

  • Upload the filled spreadsheet. 

  • The data entered in the worksheet will appear on the screen; 
  • Click IMPORT to continue the import process.

  • Select the Document Type, confirm that the Delivery and Billing Data will be the same for all items and select the currency that will be used in the Request; Once this is done, click the Select button.

  • Next, the import will start. At the end, a confirmation message will inform the successful operation.

  • If Advanced Requisition is chosen, download the Template and fill it according to these instructions:
    1) ID: For internal company control (Compilation: REQ01; REQ01 - REQ02; REQ02);
    2) Request Title: Request Title;
    3) Priority: Request Priority;
    4) Document Type: Document Type;
    5) CodeERP: If desired, enter the ERP code (if you have a process with the same number, error may occur in the load);
    6) Currency: Select the desired currency;
    7) Item Code: Item Code, mandatory completion;
    8) Item ID: Item ID;
    9) Quantity: Item Quantity;
    10) Service Line: Group Code;
    11) Unit Price: Unit Price;
    12) Line ERP: Which line refers to item (1, 2, 3);
    13) Purchasing Organization: Purchasing Organization, not required;
    14) Delivery Address: Delivery Address;
    15) Payment Address: Billing Address;
    16) Payment Type: Payment Type;
    17) Need Date: Date of need;
    18) Cost allocation category: Cost allocation category;
    19) Cost allocation Detail: Cost allocation details;
    20) Cost allocation Complement: Cost allocation complements;
    21) Cost allocation observation: Cost allocation observations;
    22) Percentage: Percentage: all together must add up to 100%;
    23) Comment: Comment;
    24) Comment Public: Define if the comment will be public or not;

  • Upload the completed spreadsheet. After processing, a warning that the requisition has started to be imported will be shown on the screen.

  • Go to the Import Center menu to track the Import. If data errors are imported, they will be reported on the page.
    With this, the worksheet fill should be corrected and imported again.

  • Returning to the My Requests page you will be able to verify the created requisitions and its respective status:
    *Important: The definition of the sequence of the Purchase Request (Workflow) is defined through the Type of Document informed during the creation. Therefore, it is important to confirm with the Buy Administrator what type of document will be used.
